In highly regulated industries, such as Healthcare, Oil and Gas, Defense and Aviation, it’s a challenge to stay compliant with various requirements, while managing complex qualification requirements is critical and often mandated by regulations.

Medical centers, for example, need to ensure compliance with various qualifications such as licenses, medical tests, vaccinations, and internal certifications.

The way many organizations in highly regulated industries deal with it today, is by using the LMS to handle some aspects of employee qualifications. However, it’s limited to training data. Others rely on homegrown solutions, specialized packages, or even Excel spreadsheets. Recognizing this gap, we at AKT decided to address it with EQM – Employee Qualification Management.

EQM Features

EQM provides a structured solution for managing certifications, licenses, medical clearances, approvals, and regulatory requirements in one unified system. It complements the core HR platform by adding a dedicated qualification management layer linked to employee data.

EQM connects qualification requirements to defined roles and positions, ensuring employees meet established criteria before performing regulated or sensitive work. Organizational structure remains managed in the core HR system, while EQM governs the qualification rules associated with those roles.

EQM tracks validity periods, renewal cycles, and expiration dates across all qualifications. Automated reminders and structured status updates help organizations stay ahead of compliance deadlines without impacting core employee records.

Qualifications can be captured from multiple sources — including learning systems, external authorities, medical screenings, and internal approvals — and consolidated into a complete, structured qualification profile.

EQM provides dashboards and reporting that give visibility into qualification status across the organization. 

Configurable workflows support qualification approvals, renewals, and exception handling. Every action is recorded, ensuring traceability and structured compliance processes.

EQM is an extension to SAP-SuccessFactors, developed on BTP. It helps manage employee qualifications throughout the employment lifecycle, covering all types of qualifications such as certifications, licenses, internal and external training, OJT, vaccinations, medical tests and even accidents and disciplinary log. EQM supports complex business rules, integrates with external systems, and is designed to be flexible and adaptable across industries.
